Opportunity Information

Sutter Medical Group (SMG) is currently seeking a dynamic Administrative Assistant, to join our Administrative Services team. Based out of our Sacramento (Natomas) office, this position is currently hybrid, meaning it comes with a mix of in-person and remote work. The Administrative Assistant is responsible for supporting SMGs leadership teams, departments and committees with the full range of administrative functions required by a robust medical group. This position allows the incoming member to be a member of the medical group, joining over 1,000 clinicians committed to providing the highest quality, most efficient and compassionate patient-centered healthcare to each of our diverse patients.

Provides a variety of professional clerical and administrative support to the SMG Administrative Services team. Adheres to standard work and best practices to complete tasks in a timely manner. Prioritizes information and requests and coordinates with internal and external constituents to coordinate responsibilities of department wide scope. May be exposed to confidential and sensitive information where discretion and judgement in communication will be necessary.

  • Partner with SMG Administrative Services team members and SMG Leadership and Clinicians to ensure timely completion of assigned tasks, meet team objectives, and provide administrative support.
  • Arrange and provide calendaring support, scheduling assistance and assist with time and expense reporting
  • Coordinate and assist in the onboarding process for new clinicians
  • Run meetings; both in-person and virtually (on multiple platforms) including logistical, pre and post meeting support
  • Assist with communications including, creating, proofing, editing and finalizing correspondence, reports and presentations
  • Prioritize assignments and work within standardized processes to achieve objectives and meet deadlines
  • Work independently, as well as be part of the team, building collaborative relationships on day-to-day operations.

Qualifications

  • Possess written and verbal communications skills to communicate with fellow team members, supervisors, patients, and other personnel.
  • Well-developed time management and organizational skills, including the ability to prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines.
  • Basic knowledge of computer applications, such as Microsoft Office Suite (Word, Excel, and Outlook), EPIC, and related information systems.
  • Interpret a variety of data and instructions, furnished in written, oral, diagram, or schedule form.
  • Prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines.
  • Work independently, as well as be part of the team, including accomplishing multiple tasks in an environment with interruptions.
  • Identify, evaluate, and resolve standard problems by selecting appropriate solutions from established options.
  • Ensure the privacy of each patient’s protected health information (PHI).
  • Build collaborates relationships with peers and other staff members to achieve departmental and corporate objectives.
